Privacy Policy
Effective October 27, 2026
CoPlanner360 is a shared family calendar for parents who split time, and for the grandparents, sitters and friends they choose to let in. This page says what we collect, why, who can see it, and how to get rid of it. It is written in plain words on purpose. If anything is unclear, write to [email protected].
Who runs CoPlanner360
CoPlanner360 is run by its founder in North Carolina, United States, and is reachable at [email protected]. The site is coplanner360.com.
What we collect
- Your account. Your name, email address and a password, which is stored hashed so we cannot read it. Sign-in links sent by email work once and expire.
- What you put on the calendar. Events, notes, the custody pattern, who is going, the names and colors of the people on your calendar, and messages to the other calendar owner.
- Calendar feeds you add. The links you paste (school, team and league calendars) and the events they contain. Links are stored encrypted. Pasting a web page sends that page's address to us so we can look for the calendar link on it.
- Calendars you connect. If you connect Google Calendar or Apple Calendar, the events from the calendars you tick. See the next section for exactly how this works.
- Friends and followers. The email addresses you invite and the calendars you follow or that follow yours.
- Alerts. If you turn on phone alerts, the push subscription your phone gives us so we can send them.
- Places. When you type a location on an event, the words you type are sent to Google's Places service to suggest an address.
- Ask CoPlanner and shared text. Your question, or a message you share into the app from your phone, together with the calendar details needed to answer, are sent to Anthropic's Claude service to produce the reply. Anthropic does not use this data to train its models under the terms we use it on.
- Technical records. Server logs with the address of your device, the pages requested and the time, kept briefly to keep the service running and secure. We do not use advertising trackers or analytics cookies.
Google Calendar and Apple Calendar data
Connecting a calendar is optional. When you connect Google Calendar, CoPlanner360 asks Google for read-only access to your calendars (the calendar.readonly scope). We use it for one thing: to read the events on the calendars you tick so they show up on your family calendar, and to check for changes about every ten minutes. We never write to, change or delete anything in your Google Calendar. The sign-in token Google gives us is stored encrypted and is used only to read those calendars.
When you connect Apple Calendar, you give us an app-specific password made at account.apple.com. It is stored encrypted and used only to read the iCloud calendars you tick in the same way. You can revoke it at account.apple.com at any time.
Events read from Google or Apple are stored on your family calendar like any other event and are visible to the people on your calendar, and to followers only if you choose to share that feed with them. We do not sell this data, do not use it for advertising, and do not share it with anyone else except the service providers listed below that host the site. No person at CoPlanner360 looks at it unless you ask us for help and give permission, or we need to for security reasons or by law.
CoPlanner360's use of information received from Google APIs follows the Google API Services User Data Policy, including the Limited Use requirements.
To stop: open Settings → Feeds and tap Disconnect. That deletes the stored token or password and every event that came through that connection. You can also remove CoPlanner360's access from your Google account permissions page; the connection then stops working and we delete it.
How we use what we collect
Only to run the calendar: showing events to the right people, working out who has the kids, sending the alerts and emails you asked for, and answering your questions. We do not sell personal information and we do not show ads.
Who can see your data
- People on your calendar. Both calendar owners and anyone a calendar owner adds, such as a kid, a grandparent or a sitter, see the calendar according to the role they were given.
- Followers. Families you accept as followers see only the feeds and events you choose to share with them.
- Friend families, busy times. Families you are friends with, and their Ask CoPlanner, can see the hours you are busy, with no title or place, so a time can be found that suits everyone. Events you mark Hidden never show. You can turn this off under Calendar Rules.
- Service providers. Companies that process data on our behalf to make the site work: our hosting and email delivery providers, Cloudflare (which sits in front of the site), Google (Calendar and Places), Apple (iCloud calendars), Anthropic (Ask CoPlanner and reading shared text), and the Apple, Google and Mozilla push services for phone alerts. Each gets only what it needs for its job.
- When the law requires it. We will hand over data if we are legally required to, and we will tell you unless we are not allowed to.
Kids
A kid's sign-in can only be created by a parent on that calendar, and a parent can remove it at any time. We do not knowingly collect information from children under 13 except through a parent's account in this way. If you believe a child has given us information without a parent's consent, email us and we will delete it.
Security
Connections to the site are encrypted. Passwords are hashed. Feed links, Google tokens and Apple app-specific passwords are encrypted at rest. Access to the servers is limited to the person running the service. No system is perfectly secure, so if we learn of a breach that affects you we will tell you promptly.
How long we keep it, and how to delete it
- Your data stays while your calendar exists.
- Removing a feed, disconnecting a calendar, or deleting an event removes it straight away.
- To delete your whole family calendar, including your account, email [email protected] from the address on the account. We delete it within 30 days. Copies in backups age out within a further 30 days.
- Server logs are kept for no more than 30 days.
Your choices and rights
You can see and change everything on your calendar from inside the app, and export it as an iCalendar file from Settings → iCalendar. You can ask us for a copy of your data, ask us to correct it, or ask us to delete it, by email. If you live somewhere with privacy laws that give you further rights, such as the EU, UK or California, those rights apply and you can exercise them the same way.
Changes
If this policy changes in a way that matters, we will say so on this page with a new effective date and, for big changes, by email.
